Multi-site urgent care and walk-in clinic queue optimizer
An enterprise platform that manages patient flow, rooms and triage queues across a network of high volume urgent care clinics.
The problem
Walk-in clinics lose patients to long, unpredictable waits. Managers saw their own site only, staff re-entered the same intake data, and opening a new site meant weeks of setup.
How we approached it
We built digital check-in kiosks and a web check-in that feed a live queue. An estimation engine uses current arrivals, provider counts and recent visit times to show realistic waits to patients and staff. Operations managers see rooms, staff workloads and turnover across all sites, and a super admin console onboards new branches from a template. After each visit the system sends instructions and a short satisfaction survey.
What we built
- Real time wait-time estimation engine and digital check-in kiosks
- Cross-facility dashboards for room turnover, staff workload and throughput
- Automated post-visit surveys and follow-up care instructions by SMS and email
- Centralized super admin console to onboard clinic branches and view enterprise analytics
- Triage rules and priority handling
- Patient text updates when their turn is near
How the pieces fit together
Security and compliance controls
- Role scoped dashboards per site
- Kiosk screens that hide names after check-in
- Audit log of queue changes
- Encrypted contact data
- Per site data permissions
Outcomes for the operator
- Patients see a believable wait instead of a guess and fewer walk out.
- Managers move staff between sites using live data.
- Opening a new clinic becomes a template job.

Representative engagement. Client details and internal figures are withheld under NDA. Compliance depends on how a system is operated as well as how it is built, and your own counsel decides what applies to you.
